We only collect the minimum personal data needed for the purposes set out below. The data we may collect includes:

  • Identity and contact data – name, address, e‑mail, telephone number, service address/location.
  • Project and communications data – details of your enquiry, property photos you choose to share, measurements, specifications, notes from surveys, and correspondence.
  • Marketing preferences – your choices about receiving marketing from us.
  • Technical and usage data (from our website) – IP address, device type, browser, pages viewed, referral source and similar information collected via cookies and similar technologies (see Cookies).
  • Supplier/applicant data – if you are a supplier or job applicant, basic contact details, CV/application information and references (where provided).

We do not intentionally collect special category data (e.g. health, biometric or religious information) or information about criminal convictions. Please do not share such information with us unless we specifically ask for it and explain why it is necessary.

3. How we collect your data

  • Direct interactions – when you complete a contact form, call or e‑mail us, request a quotation or site survey, sign a contract, or correspond with us on social media.
  • Automated technologies – via cookies and similar technologies when you use our website (see Cookies). We use Google Analytics (GA4) to help us measure website usage (e.g. page views, popular pages and user journeys). We also use Google Search Console to understand how our site appears in Google Search and to diagnose issues; Search Console does not place cookies on your device.
  • Third parties – we may receive lead details from advertising/lead generation platforms you have interacted with, or from referrals by existing customers (we will tell you where we obtained your data where appropriate).

4. Lawful bases for processing

We use your data only where a lawful basis applies:

  • Contract – to provide quotations, carry out site surveys, supply and install our products/services, and manage warranty/aftercare.
  • Consent – where you have opted in to receive marketing communications or consented to non‑essential cookies. You can withdraw consent at any time.
  • Legitimate interests – to respond to enquiries, manage and improve our website, protect our business, operate and develop our services, and send limited marketing to existing customers about similar products (soft opt‑in under PECR). We always balance our interests against your rights.
  • Legal obligation – to keep records required by law (e.g. tax and accounting) and to respond to lawful requests from authorities.

5. How we use your data

We use personal data to:

  • respond to enquiries and provide quotations;
  • arrange and conduct site surveys and installations;
  • manage projects, warranties and aftercare;
  • administer our website, troubleshoot and keep it secure;
  • send service messages (e.g. appointment confirmations, changes and updates);
  • send marketing communications where permitted (see Marketing);
  • comply with legal and regulatory obligations.

We do not sell your personal data.

6. Marketing

We may send you marketing about our services if:

  • you have opted in; or
  • you are an existing customer and we are promoting similar products/services (the “soft opt‑in”).

You can opt out at any time by using the unsubscribe link in our e‑mails or by contacting us at info@westyorkshiredriveways.com. If you opt out, we will still send essential service messages where necessary.

7. Cookies and similar technologies

Our website uses necessary cookies to make it work and may use optional analytics cookies to help us understand site usage and improve our services.

  • We will ask for your consent before setting any non‑essential cookies (such as analytics cookies) in line with PECR.
  • You can change your choices at any time via Cookie Settings (link in our site footer) and through your browser settings.
  • We use Google Analytics (GA4) to collect anonymised/aggregated statistics about how visitors use our site (for example, which pages are visited and how users navigate). Google may process pseudonymous identifiers (e.g. cookie IDs). Analytics cookies are not set unless you consent.
  • We use Google Search Console to view aggregated search performance data for our site. It does not set cookies on your device and does not track you across sites.

Examples of analytics cookies (Google Analytics GA4):

  • _ga – used to distinguish users – expires after 2 years (set only with consent).
  • _ga_<container-id> – used to persist session state – expires after 2 years (set only with consent).

Cookie names and lifetimes can vary; see our Cookie Policy for the current list and purposes.

8. Sharing your data

We share personal data only with:

  • Service providers (processors) who help us run our business (e.g. web hosting and IT support, website analytics, e‑mail and calendar providers, form/lead capture tools or website CMS, CRM/quotation tools, subcontractors/installation teams where required for your project). They must follow our instructions and protect your data.
  • Google services – we use Google Analytics (GA4) for website analytics and Google Search Console for search performance insights. Google may process data in the UK, EEA and/or internationally. Where data is transferred outside the UK, we rely on appropriate safeguards (see International transfers).
  • Professional advisers (e.g. accountants, insurers, legal advisers) and regulators where required.
  • Delivery partners and suppliers to order and deliver materials to your site where necessary.
  • Law enforcement or other authorities if required by law.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our processors to use your personal data for their own purposes.

9. International transfers

Some of our service providers may be located outside the UK. Where data is transferred internationally, we will ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, together with risk assessments as required.

10. Data retention – how long we keep your data

We keep personal data only for as long as necessary for the purposes for which it was collected, including satisfying any legal, accounting, or reporting requirements. Typical retention periods are:

  • Contact form submissions & enquiry/quotation records (stored in our website database/CMS and forwarded to e‑mail): up to 24 months from last contact if no contract is formed.
  • Customer/project records (contracts, invoices, warranty and aftercare): up to 6 years after completion (to meet tax/accounting and contractual obligations).
  • Marketing preferences and suppression lists: retained as long as you remain subscribed; if you unsubscribe, we keep a record that you opted out to ensure we respect your choice.
  • Job applications: normally 6 months after a vacancy closes, unless you ask us to keep your details for longer or we are required by law to keep them longer.
  • Website analytics data: retained within our Google Analytics account according to its retention settings; we mainly use aggregated reports.

We may retain anonymised or aggregated data (which is not personal data) for analysis and business planning.

11. Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction. These include access controls, encryption where appropriate, staff awareness and supplier due diligence. While we work hard to protect your information, no website or e‑mail system can be completely secure; please take care when sending us information by e‑mail or online.

12. Your rights

Under UK data protection law, you have the following rights:

  • Access – to request a copy of the personal data we hold about you.
  • Rectification – to ask us to correct inaccurate or incomplete data.
  • Erasure – to request deletion of your data where there is no good reason for us to continue processing it.
  • Restriction – to ask us to suspend processing of your data in certain circumstances.
  • Portability – to receive your data in a structured, commonly used format and/or request we transfer it to another controller, where technically feasible.
  • Objection – to object to processing based on our legitimate interests and to object to direct marketing at any time.
  • Withdraw consent – where we rely on consent, you may withdraw it at any time.

To exercise your rights, please contact info@westyorkshiredriveways.com. We may ask for proof of identity and will respond within one month, or explain if an extension is required for complex requests.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO): ico.org.uk. We would appreciate the chance to deal with your concerns before you approach the ICO, so please contact us first.
